Maintenance departments in a wide array of industries can benefit from implementing a Computerized Maintenance Management System, or CMMS. This software assists maintenance workers by providing them with a mean to schedule and organize all preventative maintenance activities they need to perform. The implementation of a CMMS system can improve the overall efficiency of a facility's maintenance department by allowing them to better manage both time and resources; the system also maintains a detailed database of all equipment a facility owns.

CMMS software, as previously alluded to, can greatly enhance the efficiency of a facility's maintenance department once it is effectively integrated on a day-to-day basis. It is important to remember that even though CMMS software can seem complicated initially, it is worth learning how to use it in the long-run. There are consulting specialists who will come to individual facilities and conduct training with the new CMMS software. By the time the specialist leaves, all employees should have a working knowledge of the system.

The maintenance department should work together to create a list of their needs and wants for the new CMMS program. This will allow the software to be customized to their specific requirements. Once all of the facility's equipment is connected to the CMMS system, the maintenance department will find that all of their scheduling and task management has been consolidated. This will allow for maximum efficiency within the department. If it has been properly implemented, and employees well-educated on the feature-set, a CMMS system should help a maintenance department to run at top-notch efficiency.

Perhaps the most important feature of any CMMS program is the ability to schedule recurring preventative maintenance for all equipment. Pre-programming all preventative maintenance tasks ensures that tasks are being performed on time.

Though it may seem a daunting task for facilities with large amounts of machinery, scheduling all preventative maintenance provides countless benefits. For example, once the maintenance schedules have been programmed into the CMMS software once, it will allow employees to easily view all tasks for years to come. This calendar system will eradicate any question as to what maintenance and repairs were last performed on a given piece of equipment.

Most companies will have a system administrator manage the CMMS software, so the maintenance department employees will not need to learn the fundamentals of it's upkeep. Duties of the system administrator will include daily hotel maintenance and updates, necessary repairs, and teaching any new maintenance employees to properly use the program. System administrators are a vital part of any successful hotel capital planning program. Not only do these individuals check on a daily basis to make certain that the CMMS is up-to-date and saving the database consistently, but they can aid in any software troubleshooting that may be necessary.
